How to Add Your Signature — Step by Step
- Click the gear icon (top right) → "See all settings"
- Go to the "General" tab
- Scroll down to the "Signature" section
- Click "+ Create new", name it (e.g., "Work")
- Click inside the signature editor box
- Press Ctrl+V (Windows) or Cmd+V (Mac) to paste
- Under "Signature defaults", choose this signature for new emails and replies
- Scroll down and click "Save Changes"
Tip: Use "Copy to Clipboard" button (not "Copy HTML") for Gmail. It preserves formatting automatically.
- Open Outlook → Click File → Options
- Click "Mail" in the left sidebar
- Click the "Signatures..." button
- Click "New", name your signature
- In the editor box at the bottom, press Ctrl+V to paste
- Set "New messages" and "Replies/forwards" to your new signature
- Click OK → OK to save
Tip: Use "Copy to Clipboard" for the rich version. If formatting breaks, use "Copy HTML" and paste into the HTML source editor.
- Click the gear icon (top right) → "View all Outlook settings"
- Go to Mail → "Compose and reply"
- Under "Email signature", click in the text editor
- Press Ctrl+V (or Cmd+V) to paste your signature
- Check "Automatically include my signature on new messages"
- Check "Automatically include my signature on messages I forward or reply to"
- Click "Save"
Works for Outlook.com, Hotmail.com, Live.com, and MSN.com accounts.
- Click the gear icon (top right) → "More Settings"
- Click "Writing email" in the left panel
- Under "Signature", toggle the switch ON
- Click in the signature text box
- Press Ctrl+V (or Cmd+V) to paste
- Yahoo saves automatically — just navigate away when done
Note: Yahoo has limited HTML support. Complex layouts may render slightly differently. Test by sending yourself an email.
- Open Mail → Mail menu → "Settings" (or Preferences)
- Click the "Signatures" tab
- Select your email account on the left, click "+" to add new
- In the right panel, paste your signature (Cmd+V)
- Important: Uncheck "Always match my default message font" at the bottom
- Drag the signature to the account you want it on
- Set "Choose Signature" dropdown to your new signature
- Close the Settings window (saves automatically)
Tip: If images don't show, make sure "Always match my default message font" is UNCHECKED.
- Open Settings → scroll to "Mail"
- Tap "Signature"
- Choose "All Accounts" or select a specific account
- Tap in the signature field and paste (long press → Paste)
- Note: iOS supports basic HTML but may strip some formatting
For best results on iOS, use a simpler template (Minimal or Classic) as iOS strips complex HTML.
- Click the hamburger menu → "Account Settings"
- Select your email account
- Check "Use HTML" checkbox below the signature area
- Click "Copy HTML" button on our tool (not "Copy to Clipboard")
- Paste the HTML code into the signature text area
- Close settings (saves automatically)
- Click Settings (gear icon) → "Go to settings"
- Navigate to "Identity" section
- Click your display name/email to edit
- In the "Signature" field, paste your signature
- ProtonMail supports rich HTML — formatting should be preserved
- Click "Save"
- Click the gear icon → "Signatures"
- Click "Add Signature"
- Name your signature, then click "Source" (HTML mode) in the editor toolbar
- Click "Copy HTML" on our tool and paste the code
- Click "Source" again to see the preview
- Click "Save", then set as default for your account
